Holiday Information for Parents
West Runton Holidays
West Runton Holidays (WRH) has been operating since 1919 with an aim to make Jesus known to young people through excellent, exciting activity holidays. Today, it is a volunteer led charity, overseen by a board of trustees who are chaired by Senior Leaders, Graham and Libby Woodward. WRH works closely and in association with The Runton Dolphin Trust and Scripture Union.
Safety
The ratio of adult staff to participants on the holiday is usually 1:4. Mixed groups will have at least one adult of each gender. Instruction for all activities, such as sailing, skiing and climbing, is carried out under qualified supervision, either by our own qualified leaders, or licensed leaders hired in for this purpose. Where licensed activities are provided by our own leaders, we operate under the remit of AALS and where provided through a third party, we will perform appropriate due diligence. All recommended safety equipment is always worn correctly and is checked and maintained to a high standard.
Smoking is not permitted except in designated areas and no alcohol is permitted anywhere or at any time on the holiday. Where buildings are used on our holidays, they conform to the standards required by law. Tented camps have regularly serviced fire fighting equipment.
Health
We require you to inform us of any health problems the participant may be experiencing or any medication being taken. Each holiday has a designated first aider with a current first aid certificate from one of the national organisations. Menus are drawn up with regard to providing balanced meals with adequate quantities for people of different ages. If we are informed of special dietary requirements, we can normally cater for them. All the holidays provide adequate rest and have a ‘lights out’ time suitable for the age group.
Any extras?
The price shown for each holiday is totally inclusive, from the time of arrival to the time of departure. However some pocket money is advised for small items such sweets, drinks or postcards to send home.
Insurance
A travel insurance policy is not provided in any of our holidays except Ski Runton. We advise everyone to take out cover against personal accident, illness, cancellation or loss of kit. West Runton Holidays holds Public Liability Insurance to cover the activities.
Holiday information and kit lists
These are normally sent out about eight weeks before the start of the holiday. Should you not receive a copy, please contact the booking secretary. It will include an Information and Health Form which must be signed and returned before we can accept charge over the young person. Parents are responsible for travel to and from the holiday venue, or the holiday meeting point for overseas trips.
Fees and cancellation
The fee for each holiday is shown in the details of the brochure and all have a non-returnable, non-transferable deposit of £40 (£60 overseas). The balance of the full fee is payable eight weeks before the start of the holiday. If a cancellation is made within 56 days of a UK holiday, the full fee must be paid (see Small Print for holidays overseas). All monies paid will be held in a separately administrated trust account until after the completion of the holiday in compliance with current legislation.
Assistance with fees
In the event that financial circumstances would prevent someone attending the holiday, WRH work in close association with the Runton Dolphin Trust which may be able to assist. Please email Sue Finch for an application form - grants@westrunton.org.uk or write to her at 68 Vicarage Lane, Great Baddow, Chelmsford, Essex, CM2 8HY.
Changes to or cancellation of a holiday
All information is correct at the time of going to press, and is published in good faith. WRH reserves the right to refuse any application where there are concerns over safety or suitability and to alter or cancel a holiday where necessary.
Special needs
Some young people have needs which require special support, and it is WRH’s aim to include such young people wherever possible. This is only possible where we are given full details of the condition at the time of booking so we can consider and discuss with all parties how we might attempt to meet those needs. If it is found we cannot provide the correct level of support, all monies will be returned.
Social or behavioural problems
If a young person is experiencing social or behavioural problems which could affect the safety or well being of themselves or others on the holiday, we must be informed at the time of booking. In this situation, WRH reserves the right to refuse any application, or to ask a person to leave a holiday. In this event the parent or guardian will be informed and will be required to make arrangements at their own expense for that person’s collection from the holiday. No refund is available in these circumstances.
Photographs
We use photographs taken on our holiday, including young people, in our publicity material. If you wish to discuss this please contact the relevant Holiday Leader.
Comments?
We welcome any comments, whether encouragement or suggestions of improvement, and if you have any problems with a holiday please write to the appropriate leader or the Senior Leaders immediately and we will do our utmost to find a satisfactory solution.
Contact
West Runton Holidays is a volunteer led organisation. Booking Secretaries and Holiday Leaders have full time occupations, so please bear this in mind when contacting them, and be reasonably patient when waiting for a response.
